How the calculator works
It starts with the income you want to keep and adds tax on top, so you see what you need to earn before tax. Then it adds a year of business costs.
Next it adds payment fees, so card fees do not eat into your income. Finally it divides the total by the sessions you will actually deliver: sessions per week, times working weeks, minus cancellations you do not charge for.
The result is your floor, not your price. Charge above it to leave room for slow months, equipment and growth.
Getting the inputs right
Be honest about working weeks. Holidays, illness, courses and quiet weeks around the new year all count.
Sessions per week should be what you can sell every week, not your record week. If your diary is full only in the evenings, plan for that.
A clear cancellation policy lowers the share of sessions you lose. You can write one with the policy generator.
From a number to a price list
Most trainers keep one standard price, a lower price per person for two person sessions, and a group price. The guide on how much to charge for personal training walks through setting each one.
In CoachOne, every service has its own price, duration and capacity, and you can change prices at any time. Clients see the price before they book.
Questions aboutthis tool.
Start with the income you want to keep, add tax and your yearly business costs, then add payment fees. Divide that total by the sessions you can realistically deliver in a year after holidays and cancellations.
Most independent trainers price per session, because clients book sessions. If your sessions vary in length, run the calculator for your most common length and scale the price for shorter or longer sessions.
Use the number you can sell and deliver every week without burning out, not your best week. Travel between clients and gaps in your day reduce what is realistic.
Work out what you need per hour of your time with this calculator, then divide by the number of people you expect in the group. Set a minimum group size so a half empty class still covers your costs.
Yes. A few percent on every card payment adds up over a year. The calculator adds them on top so the price you charge still leaves you the income you planned.
No. Tax rules depend on your country and situation. Use your own rough rate here and check the details with an accountant.
