The client management appfor personal trainers and their regulars
Who your clients are, when they last trained, what they paid and what they still owe. CoachOne is a client management app for personal trainers and other Sport Trainers, on iPhone.

One record per client.Nothing left in your head.
PT client management usually lives in three places: your phone contacts, a spreadsheet and your memory. CoachOne keeps it in one client record per person, next to their bookings and payments.
Open a client and the whole relationship is there. It works as a personal trainer CRM without the setup a sales tool needs.
- Contact details and the services they are assigned to
- Training history and attendance log
- Payment history and outstanding balance
- Internal notes and tags
- One chat with each client, with their bookings and reschedules in it

A client management app for personal trainersthat answers the money questions.
A client list should tell you more than names and numbers. These are the answers CoachOne puts up front, so you can act on them between sessions.
Outstanding balance
Money owed to you shows on each client and on your Clients tab, so an unpaid session gets noticed the same week.
Clients who stopped booking
CoachOne shows clients who have gone quiet, with no session for a while, and they get a nudge to book again before they drift away.
Notes and tags
Note a preferred time, a parking tip or a goal they mentioned. Tag clients by group, level or session type to find them fast.
Who pays the most
Earnings break your income down by client and list your top paying clients, so you know which relationships carry the business.
Spreadsheet or app.Same clients.
If you keep clients in a sheet today, here is what changes. Our guide on how to manage clients without spreadsheets goes deeper.
| Topic | A spreadsheet | CoachOne |
|---|---|---|
| Who owes you | Only if you added it | Outstanding balance on every client |
| Who stopped booking | You scan the dates yourself | Clients who have gone quiet are shown |
| Attendance | Typed in after each session | Attendance log per client |
| Payments | Copied from your bank app | Payment history, card and cash |
| Conversations | Kept in other apps | One chat per client, bookings included |
| On your phone | Hard to read between sessions | Built for iPhone |
Client records for coaches, not health records.
Training history in CoachOne means sessions: what a client booked, when they came and what they paid. It is a record of your business with them.
CoachOne does not track workouts, body measurements or health data. If you write programmes for clients, keep your programming tool alongside CoachOne and let each do its own job.
Clients do see their own attendance progress in the app: total training hours, weekly streaks, an attendance calendar and badges. It counts showing up, nothing more.
Get your list in order. Then keep it that way.
Starting with a client management app for personal trainers is mostly about the clients who are not in it yet. Here is a simple order to do it in.
Share your booking link
Clients who book through your link become part of your client list in the app.
Add everyone else by hand
Some clients will never book themselves. Add them manually and record their sessions and payments yourself.
Note as you go
Add tags and internal notes after a session, while the details are still fresh.
Review once a week
Check who owes you and who has gone quiet. Then set a follow up for a client, once or on repeat, and it goes out to them on its own.
Questions aboutclient management.
Keep one record per client with contact details, sessions, attendance and payments in it. In CoachOne that record sits next to the bookings and payments themselves, so there is no second list to keep up to date.
Yes. The client CRM holds contact details, training history, attendance, payment history, outstanding balance, assigned services, notes and tags. It is built for one trainer, not a gym front desk.
Each client shows an outstanding balance, the money they owe you, and your Clients tab lists money owed to you. Message them in their chat while the session is still recent.
CoachOne flags clients who have gone quiet, meaning no session for a while, and they get a nudge to book again. You can also set your own follow up for that client, sent once or on repeat.
At least contact details, session history, attendance, payments and what each client still owes. CoachOne adds notes, tags, one chat per client and a view of clients who have gone quiet.
Yes. Add them manually and record their sessions and payments, so your client records and earnings stay complete.
No. It records sessions, attendance and payments, not exercises, weights or health data. Keep your programming tool for that side of coaching.
No. Clients and sessions are unlimited, and the app is free to use, so nothing changes as your list grows.
